What idle cloud suite licences look like inside a finance application
Internal finance applications often sit beside a corporate cloud suite rather than inside it. Controllers still export spreadsheets, email reconciliations, and store closing packs on shared drives that never touch the suite’s document model.
In adoption fieldwork we ask owners three concrete questions: which closing artefacts must leave the finance system, who receives them, and whether the suite is the declared channel. When the answer is “email because that is how auditors expect it,” idle licences are a symptom of an external habit, not a training shortfall alone.
A useful first move is to map one closing cycle end-to-end: system export, reviewer, approver, archive. Mark each handoff that bypasses the suite. Those marks become the adoption heatmap cells that leadership can act on without blaming individual clerks.
Organisations in Gyeonggi offices we have worked with often find that two or three artefact types account for most bypass traffic. Fixing those paths raises measured suite use faster than a broad feature tour.
